
Utilities Assistant
Summary
Responsible for the overseeing the chemical and utilities additives inventories and process records which supports the proper functioning of the boilers, air compressors, cooling towers, water pumps, RO plant, and the rest of utilities area, in addition to preparing reports as required for monitoring the utilities consumption behaviour, and serve as a support for the Utilities Manager in the Follow up of the daily activities and RP status for his pending activities.

Responsibilities
- • Support the functions of the Utilities Manager and Chief Engineer to ensure that their daily schedules, appointments, and agendas are met.
- • Maintain an accurate and efficient record-keeping system (physical and electronic) for the Utilities Manager's documentation.
- • Conduct daily inventory of chemicals and additives in the utilities department (boiler chemicals, softener chemicals, ammonia cooling tower chemicals, deodorizer cooling tower chemicals, BMP cooling tower chemicals) and generate daily reports for the Utilities Manager.
- • Type letters, correspondences, and other Utilities-related documents/emails, including documents for the rest of the Engineering Team.
- • Prepare part-payment certificate documents and records for the mobilization of jobs by contractors/suppliers for the Utilities Manager.
- • Communicate any issues or concerns to the Utilities Manager in a timely manner.
- • Assist in the preparation of Purchase Requisitions by scanning and attaching Invoices when required and follow up on unprepared purchase orders and outstanding payments for the Utilities Manager.
- • Sort and distribute all incoming documentation and mails for the Departments.
- • Record all outgoing correspondences and ensure the distribution/circulation of outgoing correspondences related to Utilities, including purchase requisitions, proposals for expenditures, payment requests, Personnel requests, Lunch Ticket requests, Taxi allowance requests, etc.
- • Maintain inventory of stationery supplies, including the preparation of monthly stationery requests and issuing stationery to the respective Engineering/Production staff as required.
- • Maintain effective working relationships with the Engineering staff and general staff to facilitate the effective and efficient operation of the Departments.
- • Participate in Food Safety and Safety, Health, and Environment (SHE) activities when required.
- • Perform any other related duties assigned.
- • Record and track all activities arising from DOR meetings.
- • Fill out NEPA reports and NEPA leak detection records.
Required Skills
- • Computer literacy, to include Microsoft Excel, Word and database management.
- • Ability to use the computer for extended periods whilst maintaining good efficiency work levels.
- • Good multi-tasking skills and the ability to meet deadlines.
- • Good time management, planning and problem-solving skills.
- • Good use of initiative and decision-making skills.
Qualifications
- • Certified Professional designation from an accredited Professional Training Institution along with four (4) passes at the CSEC level, including Mathematics and English.
- • Minimum one (1) year experience working as a secretary.
