Summary

The Fleet Assistant/Driver supports fleet operations by performing a dual role that combines administrative and logistical responsibilities with driving duties.

Responsibilities

This role involves assisting with the coordination of fleet activities, maintaining vehicle records, and driving vehicles for various purposes, including transportation and delivery of vehicle for maintenance and repairs but not limited to:

  • Assist with maintaining accurate records for fleet vehicles, including registration, fitness, insurance, carrier’s license (where applicable) and maintenance schedules.
  • Help with processing and distributing documentation related to vehicle compliance, vehicle purchases, sales, leasing, and insurance.
  • Assist with the movement of vehicles scheduled for maintenance and repairs.
  • Conduct thorough inspections of vehicles upon return from Service provider
  • Monitor and report any defects found in vehicles upon inspection pre and post maintenance and repairs.
  • Enter and update vehicle information in fleet management systems.
  • Participate in audits and inspections to verify compliance with quality management systems.
  • Operate fleet vehicles safely and efficiently for various purposes, including transportation of products or personnel.
  • Ensure adherence to all traffic laws and company policies while driving.
  • Conduct pre-trip and post maintenance and repairs inspections of vehicles to ensure they are in good working condition.
  • Report any vehicle issues or maintenance needs to the Fleet Supervisor/Manager or relevant personnel.
  • Provide excellent customer service while interacting with clients or staff during transportation or delivery tasks.
  • Communicate effectively with team members to provide updates on vehicle status and fleet operations.
  • Assist with managing inventory of vehicle parts, tools, and maintenance supplies.
  • Help with ordering and restocking parts and supplies as needed.
  • Follow safety protocols and procedures to ensure a safe working environment and safe driving practices.
  • Ensure vehicles comply with all relevant safety and regulatory requirements.
  • Provide general assistance with fleet-related tasks as required, including administrative support and logistical coordination.

Qualifications

  • High school diploma or equivalent; additional coursework or training in business administration or automotive technology is a plus.
  • Previous experience in an administrative or driving role is preferred but not required.
  • Excellent customer service skills for handling internal and external customer related tasks.
  • Valid Open General driver’s license with a clean driving record; additional certifications related to vehicle operation or fleet management are a plus.
