
Administrative Assistant - Product Research & Development Division (Prdd)
Summary
Applications are invited from suitably qualified persons to fill the following position in our Product Research & Development Division (PRDD). The Administrative Assistant will provide high-level administrative and logistical support to the Product Research & Development Division, facilitating efficient operations that align with the goals and policies of the Scientific Research Council. The candidate will be instrumental in coordinating activities across the Division, including the Food Product Development Unit, Natural Products Unit, Analytical Services Department, and Biotechnology Department. This will ensure seamless communication and project tracking. 💰Salary: $2,190,302 JMD per annum.
Responsibilities
- • Developing and maintaining an efficient records management system for the division.
- • Assisting in the preparation of project proposals as requested.
- • Coordinating and collating the divisional monthly report and other reports.
- • Recording accurate minutes for meetings as requested and distributing them accordingly.
- • Manage conference room bookings.
- • Drafting letters and responding to routine correspondence.
- • Monitoring, tracking, and ensuring timely responses to internal/external requests for information or reports assigned to team leads/section heads.
- • Managing the Divisional Manager’s diary and coordinating meetings.
- • Maintaining periodic updates to the Quality Policy Manual.
- • Assisting in ensuring the division’s adherence to the Council’s quality management system.
- • Preparing and ensuring the timely dissemination of all client contracts and letters of intent.
- • Facilitating effective communication with clients on matters pertaining to jobs contracted to the SRC.
Required Skills
- • Proficiency in Microsoft Suite.
- • Proficiency in speedwriting and/or shorthand skills.
- • Results-oriented and ability to meet deadlines.
- • Excellent customer service skills.
- • Attention to detail and high level of accuracy.
- • Ability to communicate effectively (both orally and in writing) at all levels.
- • Ability to work in a team as well as independently.
Qualifications
- • Bachelor’s degree in Business Administration, Management, or a related field is preferred.
- • Minimum (2) two years’ experience in a similar role.
