Executive Assistant
Summary
We are seeking an experienced Executive Assistant to join our team. The incumbent will be required to support the General Manager through directing and coordinating the workflow of the GM’s Department, to ensure efficient and timely responses to requests and to plan and coordinate special events as requested by the General Manger.
Responsibilities
- • Manage calendar and schedule appointments as required
- • Review and prepare cheque requisitions
- • Monitor sponsorship requests and recommend for General Manager’s consideration
- • Drafts correspondence, reports, emails and other written communication to internal and external parties
- • Coordination of submission of departmental reports
- • Produce progress updates for action list for MCS Board Meeting
- • Preparation of Executive Summary & General Manager’s Presentation
- • Plan and coordinate special events for the General Manager, both locally and overseas, to include preparation of Action Plans, budgets, booking of venues, drafting of programmes and overall implementation.
- • Review staff satisfaction indicators and participate in the development of strategies to improve staff satisfaction, within the context of the organization policies and strategy
- • Disseminate relevant corporate, industry and legal information to the team, ensuring that employees are aware of their fiduciary responsibility.
- • Elicit staff concerns and feedback and determine strategies for addressing them
- • Review job descriptions with staff and ensure the employees’ understanding of the job responsibilities, deliverables, priorities and performance standards.
- • Develop strategies for coaching, development or assignment changes that are needed to ensure that individual and team objectives, targets and standards are achieved.
- • Convene and conduct regular huddles and staff meetings.
- • Schedule staffing to ensure that all duties are carried out on time, review and coordinate vacation and other planned absences.

High level of proficiency in use of computer systems, particularly MS Office suite:
- • Outlook, Word, Excel & PowerPoint
- • Professionalism, dependability, integrity and trustworthiness combined with a cooperative attitude
Qualifications
- • A Masters degree in Business Administration or a related field
- • A minimum of 5 years working experience in a similar role.
