Summary

We are seeking a detail-oriented, organized, and experienced Accounting Associate/Bookkeeper to join our team in the construction industry. The ideal candidate will have a strong background in job costing, familiarity with QuickBooks, and the ability to handle day-to-day accounting tasks. The role will involve maintaining accurate financial records, processing invoices, managing job costs, and assisting with financial reporting. Bilingual proficiency in English and Spanish is a plus. Hours: Somewhat flexible. 9-6 EST

Responsibilities

  • Job Costing:

    • Maintain accurate records of job costs and ensure that costs are allocated correctly to specific projects. Track labor, materials, and overhead costs for multiple ongoing projects.
  • QuickBooks Navigation:

    • Process all financial transactions in QuickBooks, including accounts payable/receivable, payroll, and general ledger entries. Ensure accurate and timely updates to the system.
  • Financial Reporting:

    • Assist in preparing monthly, quarterly, and annual financial statements. Provide insights into project budgets and overall profitability.
  • Invoice Management:

    • Process vendor invoices, track payments, and ensure that invoices are matched with corresponding purchase orders and work orders.
  • Reconciliation:

    • Perform bank reconciliations and assist in reconciling accounts payable and receivable balances.
  • Budgeting and Forecasting:

    • Work with project managers to help track budgets and forecasts for ongoing construction projects.
  • Communication:

    • Liaise with vendors, contractors, and project managers to ensure timely payments and proper documentation for financial transactions.
  • Compliance:

    • Assist in ensuring that all financial processes comply with industry regulations and company policies.

Qualifications

  • Education: Associate’s degree in Accounting, Finance, or a related field. Bachelor’s degree preferred.
  • Experience: Minimum of 3 years of experience in accounting/bookkeeping, with at least 2 years in the construction industry. Strong understanding of job costing and construction project accounting.
  • Software Proficiency: Must be highly proficient in QuickBooks (Desktop or Online). Experience with Microsoft Office Suite (Excel, Word) is required.
  • Attention to Detail: Strong attention to detail and accuracy in data entry and financial recordkeeping.
  • Communication: Excellent written and verbal communication skills. Ability to explain financial concepts to non-financial team members and clients.
  • Bilingual: Fluency in both English and Spanish is highly desirable.
  • Organizational Skills: Ability to manage multiple tasks simultaneously and prioritize effectively.
  • Problem Solving: Strong analytical skills and the ability to identify and resolve discrepancies or issues in financial records.
  • Knowledge of construction accounting software (e.g., Procore, Buildertrend, or similar) is a plus
  • Experience with payroll processing is a plus.
  • Strong understanding of construction project budgets, contracts, and change orders.
