Summary

Under the supervision of the Chief Information Officer, the incumbent will be responsible for initiating and coordinating administrative activities to ensure seamless communication and workflow within the department.

Responsibilities

  • Ensure timely collection and preparation of daily, weekly, monthly, and ad hoc reports for the Management Team’s use.
  • Arrange meetings and functions as required; attend meetings, record and disseminate minutes, and follow up on action items.
  • Coordinate travel arrangements and schedule appointments for the team.
  • Create and manage purchase orders and invoices.
  • Provide direct support to the Manager and the entire team.
  • Monitor and report on the progress of projects and initiatives within the portfolio.
  • Maintain an effective filing system that ensures security and facilitates the quick retrieval of documents/information.
  • Process incoming and outgoing correspondence and follow up on outstanding issues to completion.

Required Skills

  • Proficiency in Advanced Excel and the Microsoft Suite.
  • Minimum of 2 years of administrative experience.
  • Strong analytical and customer service skills.
  • Ability to maintain positive relationships with co-workers and department/company heads.
  • Pleasant and professional demeanor with excellent human relations skills.
  • Exceptional coordinating and administrative abilities.

Qualifications

  • Diploma in Business Administration, Management, or a related field.
  • Bachelor’s Degree in Business Administration, Management, or a related field would be an asset.
