Relief Administrative Assistant
Summary
Under the supervision of the Chief Information Officer, the incumbent will be responsible for initiating and coordinating administrative activities to ensure seamless communication and workflow within the department.
Responsibilities
- • Ensure timely collection and preparation of daily, weekly, monthly, and ad hoc reports for the Management Team’s use.
- • Arrange meetings and functions as required; attend meetings, record and disseminate minutes, and follow up on action items.
- • Coordinate travel arrangements and schedule appointments for the team.
- • Create and manage purchase orders and invoices.
- • Provide direct support to the Manager and the entire team.
- • Monitor and report on the progress of projects and initiatives within the portfolio.
- • Maintain an effective filing system that ensures security and facilitates the quick retrieval of documents/information.
- • Process incoming and outgoing correspondence and follow up on outstanding issues to completion.
Required Skills
- • Proficiency in Advanced Excel and the Microsoft Suite.
- • Minimum of 2 years of administrative experience.
- • Strong analytical and customer service skills.
- • Ability to maintain positive relationships with co-workers and department/company heads.
- • Pleasant and professional demeanor with excellent human relations skills.
- • Exceptional coordinating and administrative abilities.
Qualifications
- • Diploma in Business Administration, Management, or a related field.
- • Bachelor’s Degree in Business Administration, Management, or a related field would be an asset.
