Remote Administrative Assistant
Summary
Growing US Virginia-based, virtual accounting advisory and consulting firm that serves business owners and CEOs by taking on their day-to-day accounting and bookkeeping and providing them with financial strategy is looking for an Administrative Assistant. Salary: $1200 - $1500 USD/month Schedule: Monday through Friday 8a to 5p Eastern with a 1-hour break

Responsibilities
Client Services:
- • Build healthy rapport and professional relationships through email, virtual meetings and by phone calls
- • Create and maintain Standard Operating Procedures (SOPs)
- • Develop, implement, and maintain proper electronic record keeping of documents
- • Produce quality work with quick turnaround and attentive service
- • Email & calendar management, travel arrangements, meeting coordination, project management, research, task management, CRM updating and automation creation
- • Maintain and update website
- • Social media management prospecting and maintain confidentiality.
Fractional CFO:
- • Support and liaison between the CEO and the firm’s clients, team members and outsourced contractors which includes but not limited to scheduling meetings, handle meetings, phone calls, and text-message communications
- • Reviewing ClickUp tasks, Teams messages, and providing updates and deadline awareness
- • Keeping track of potential conferences and speaking engagements.
- • Attend Zoom meetings as needed to provide assistance and act as host to manage chat, Q&A and waiting room
- • Gathering potential client’s information before sales calls and providing written overview to CFO
- • Track eligible grants, submit applications and follow-up
- • Search for potential clients via social media, networking events, and membership directories like ForbesBLK, NAWBO, chambers, etc.
- • And other duties as assigned.
Qualifications
Required:
- • At least two years experience working in a small business
- • General marketing and branding knowledge
- • Business operations experience
- • Proficient in Microsoft Office Suite
- • Proficient in CRM and workflow management
- • Proficient in virtual meeting platforms i.e. Zoom, Teams, etc.
- • Successful experience working in a virtual environment
- • Home office set-up or professional dedicated work environment
- • Ability to work independently and prioritize assignments with little supervision
- • Strong interpersonal skills and inquisitive
- • Excellent communication skills
- • Strong writing skills
- • Decisive, thorough and able to communicate clearly and effectively regarding discrepancies and misinformation
- • Highly organized and detail oriented
- • Emotionally Intelligent and professional
- • Strong ability to multitask, prioritize and manage time effectively
- • Proactive and able to anticipate the needs of executives, with a solutions-oriented approach
- • High level of accuracy and attention to detail
- • Proven ability to keep highly sensitive information in confidence and with discretion
Preferred:
- • Experience with Customer Relationship Management (CRM) systems i.e. HubSpot, High Level, etc.
- • Experience with cloud-based document management systems i.e Box, Google Drive, etc.
- • Experience with cloud-based password management systems i.e. Roboforms, LastPass, TeamPassword, etc.
