Summary

We are seeking a highly motivated and detail-oriented individual to join our team as a Vendor Operations Specialist. In this critical role, you will focus on sourcing, onboarding, and managing vendor relationships to ensure seamless integration into our platform. Acting as a liaison between United employees and local vendors, you will oversee work orders, resolve operational challenges, and drive vendor success on the Worksmith platform. đź’° Compensation: $1,700 - $2,200 USD monthly. Schedule: 9 to 6 CT - Monday to Friday

Responsibilities

  • Vendor Sourcing and Onboarding:

    • • Identify and source new tailor and dry-cleaning vendors in various markets.
    • • Conduct cold calls to vet and onboard potential vendors.
    • • Negotiate vendor agreements with favorable terms.
    • • Provide comprehensive training to onboard vendors successfully onto the platform.
  • Vendor Relationship Management:

    • • Build and nurture strong relationships with vendors to foster long-term partnerships.
    • • Serve as the primary point of contact, addressing vendor concerns and advocating for their needs.
    • • Monitor vendor performance, offering feedback to ensure high service standards.
    • • Oversee and confirm the completion of work orders assigned to your account.
    • • Coordinate unconfirmed work orders, ensuring all tasks are properly addressed.
    • • Encourage vendors to utilize the platform for real-time status updates.
  • Operational Oversight:

    • • Act as a liaison between United employees and local vendors, facilitating clear communication and workflows.
    • • Proactively resolve escalations and troubleshoot vendor or employee issues.
    • • Ensure the accurate and timely completion of all work orders.
    • • Platform Expertise
    • • Develop in-depth expertise in the Worksmith portal and its functionalities.
    • • Provide guidance to United employees and vendors on navigating the platform effectively
  • Invoicing and Billing:

    • • Assist vendors with invoicing processes to ensure accurate and timely billing.
    • • Communicate billing expectations and resolve discrepancies efficiently.

Required Skills

  • • 2 years of experience in vendor management, sourcing, or customer service.
  • • Strong negotiation, relationship-building, and communication skills.
  • • Highly organized with excellent attention to detail and follow-through.
  • • Ability to multitask and prioritize in a fast-paced environment.
  • Proficiency in using online platforms and software:

    • • G Suite (Google Mail, Calendar, Drive, Voice, Hangouts)
    • • Zoom
    • • Slack
    • • Zendesk
    • • Worksmith software - preferred.
  • • The preferred communication methods are email, Zoom calls, and phone calls
  • • Problem-solving mindset with the ability to manage escalations effectively.
  • • Exceptional customer service and interpersonal skills.
  • • Fluent in English, with strong written and verbal communication abilities.
  • • Self-motivated, process-focused, and comfortable with repetitive tasks.
