Summary
The Controls and Review Officer will be responsible for ensuring that the balances of all assigned clearing and suspense accounts are analyzed and investigated daily, following-up with users as appropriate and escalating in accordance with policy guidelines. The incumbent will also be performing transaction verification, using source vouchers, in keeping with the verification guidelines of the bank.
Responsibilities
- • Perform Suspense and Clearing Account reconciliation and monitoring, observing escalation requirements for assigned accounts.
- • Monitor suspense accounts assigned to other units to ensure that the reconciliation is performed within the agreed timeframe and to ensure the escalation procedure is followed.
- • Follow-up on all discrepancies found and communicated to ensure that the relevant entries have been passed to clear these discrepancies.
- • Guide the units to whom discrepancies are assigned in order to ensure timely resolution of same.
- • Preparing the suspense account analysis in the prescribed format and upload to the shared files within the prescribed timeframe.
- • Review the source of the discrepancies identified to determine the nature of the error and provide feedback where procedures or controls are lacking, ineffective.
- • Ensure that all clearings cheques, Drafts and Manager’s Cheques paid are imaged using NDP 60.
- • Ensure signatures on Drafts and Manager’s Cheques paid comply with standards set by the bank.
- • To verify signatures on FGB cheques processed through the clearings, Foreign Drafts and Manager’s Cheques paid.
- • Prepare and dispatch an Excel report via email along with scanned copies of cheques/drafts to the Supervisor, Operations Control & Review and relevant Unit/Branch Managers of all irregularities identified as per Service Level Agreements.
- • Review discrepancies to identify unusual patterns or occurrences that may suggest s system issues/suspicious activity.
- • Provide direction to training needs of the units based on issues observed during the reconciliation process.
Required Knowledge, Skills and Competencies
- • Knowledge of the bank’s products and services
- • Knowledge of Anti-money Laundering (AML) Policies and Procedures
- • Knowledge of Banking Operations policies & procedures
- • Knowledge of core banking system
- • Good problem solving and technical skills
- • Working knowledge of the transaction processing system and related interfaces that give rise to balances in suspense and clearing accounts to adequately resolve/address the various issues/requirement
- • Working knowledge of the operational environment to include operations procedures and basic accounting principles to effectively troubleshoot and resolve related issues
- • Good interpersonal and time management skills
- • Developed problem solving skills
- • Ability to plan and organize work effectively
- • Ability to communicate effectively both orally and in writing
- • Detail oriented
Preferred Qualifications
- ★ Certificate /Diploma in Business Administration or Banking or equivalent
- ★ A minimum of 3-4 years’ experience in routine banking operations
