Bookkeeping and Administrative Support Agent
Summary
Adlinc specializes in providing top-tier outsourcing solutions for logistics and service-based businesses. We are seeking a skilled Bookkeeping and Administrative Support Agent to support our clients with essential financial and operational support, ensuring their accounting and administrative processes run smoothly and efficiently. We’re looking for a highly organized, detail-oriented professional with strong QuickBooks Online experience and a solid background in bookkeeping, payroll processing, and general financial administration.
Responsibilities
Financial Record Keeping:
- • Process and post financial transactions including customer payments, vendor payments, and ACH payments
- • Reconcile daily bank and financial accounts
Invoice & Payment Processing:
- • Create and manage cash receipts, including complex invoices and reconciliation for deposits
- • Deposit and record paper checks using remote deposit
- • Audit and process vendor invoices, enter data into QuickBooks
- • Ensure compliance with financial controls and internal processes
Contractor Pay (Weekly):
- • Prepare weekly commission payments for 1099 contractors
- • Record processor invoices and submit wire payments
- • Post related journal entries in QuickBooks
Payroll (Biweekly):
- • Prepare and submit payroll batches using Paychex
- • Record payroll-related journal entries and expenses in QuickBooks Online
Accounts Receivable & Collections:
- • Monitor aging reports and follow up on outstanding invoices
- • Send customer statements and perform collection activities as needed
Administrative & Operations Support:
- • Learn and support company dispatch software
- • Prepare requested financial and operational reports for internal or external use
Required Skills
- • High attention to detail and accuracy in financial reporting
- • Excellent communication and organizational skills
- • Familiarity with logistics or dispatch systems is a plus
Qualifications
- • 2+ years of experience in bookkeeping, accounting, or administrative finance
- • Strong proficiency in QuickBooks Online and Paychex
- • Experience with ACH/wire transfers and contractor payroll
