Summary

The Government of Jamaica (GOJ) wishes to establish a Project Management Unit (PMU) within the Rural Water Supply Limited (RWSL). The PMU will be responsible for the management and implementation of the Rural Water Supply Improvement Project, which is to be financed by the Caribbean Development Bank (CDB). The project's overall objective is to contribute to increased water security in rural communities and sustainable livelihoods in Jamaica. The expected outcome of the project is increased water reliability and access to improved, safe, climate-resilient potable water supply services in targeted rural communities in Jamaica. The Administrative Assistant (M) will act as a secretary to the Project Manager (PM) and will provide administrative support to the Project Management Unit for the Rural Water Supply Improvement Project. 💰Salary Range: $1,711,060 - $2,301,185 JMD per annum and any allowance(s) attached to the post.

Responsibilities

  • Arrange and coordinate meetings.
  • Record and transcribe minutes of the Project Steering Committee meetings and other meetings as required and dispatch in a timely manner.
  • Prepare letters and memoranda on behalf of the PM and dispatch in a timely manner to the PMU staff and other stakeholders as required.
  • Follow up on miscellaneous administrative matters where necessary.
  • Ensure that all correspondence concerning the project is properly filed.
  • Photocopy and collate documents concerning the project as required by the Project Manager.
  • Carry out duties of Office Coordinator when required.
  • Prepare and maintain Motor Vehicle Mileage Logbook.
  • Perform other duties as required by the PM.

Required Skills

  • Knowledge of Microsoft Office Suite.
  • Excellent analytical and judgment skills.
  • Knowledge of record keeping and records/files management techniques.

Qualifications

  • Associate Degree in Business Administration, or other related discipline plus a minimum of five (5) years' experience working in a secretarial or administrative capacity; OR advanced secretarial/administrative certification plus five (5) years' work experience in a secretarial/administrative capacity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to take minutes and dictation in shorthand/speedwriting.
  • Excellent oral and written communication skills.

The Property Acquisition Officer will be responsible for coordinating and overseeing the acquisition of all properties needed for the project, whether privately owned or owned by the Commissioner of Lands. These sites will house water supply infrastructure to be handed over to the National Water Commission (NWC). The officer will operate consistently within relevant Jamaican Acts and government policies and will liaise with the National Land Agency (NLA) on property acquisition matters. The Property Acquisition Officer will report to the RWSL's designate and/or the Project Manager (PM). 💰Salary Range: $3,501,526 - $4,709,163 JMD per annum and any allowance(s) attached to the post.
