Executive Assistant - Vp Marketing & Opportunity Packaging
Summary
The Executive Assistant provides administrative support for the Vice President and generally supports the activities of the departments within the Marketing & Opportunity Packaging Division.
Responsibilities
The incumbent is expected to perform a range of duties that are necessary to effectively support the office of the Vice President and the Division. These include but are not limited to the following:
- • Carry out administrative tasks as required to support the Vice President's office and the departments within the Marketing and Opportunity Packaging Division.
- • Manage the calendar of the Vice President.
- • Schedule appointments and ensure timely arrangements, follow-up, and preparation for meetings including receiving of guests when applicable, preparing supporting documentation, and meeting room preparation, etc.
- • Ensure requisite documentation is secured and made available to the Vice President prior to attendance at meetings as per agreed timelines.
- • Respond to queries and provide information to internal and external clients as required, including referral to other points in the Division or organization as appropriate.
- • Ensure that management, department and/or staff Divisional meetings are convened based on agreed schedules and planned in advance as per agreed timelines.
- • Prepare presentations for Management Meetings and collate supporting documentation as required.
- • Take and prepare minutes at meetings as required, including action items for respective team members with deadlines as agreed.
- • Draft, circulate, and/or follow-up with division staff on action items as per communication from VP.
- • Store, catalog, and maintain the department's computerized and other filing systems and documents.
- • Receive and log documents sent to the office of the Vice President. Route and track as appropriate.
- • Coordinate logistics for the planning of events, workshops/seminars as required with the VP Support team and Integrated Management and Communications, Events Team as required.
- • Draft briefs, letters or presentations as requested.
- • Maintain weekly attendance register for the division; prepare and submit attendance reports and requisite leave forms as required.
- • Compile information and prepare performance reports for departments/divisions as required.
- • Liaise between departments within and outside of the division to ensure effective dissemination of information as necessary.
- • Coordinate arrangements for local and overseas travel for the Division's staff in conjunction with the respective department's consulting officer.
- • Other duties as may be assigned by the Vice President.

- • Working knowledge of the Microsoft suite of programs.
Qualifications
- • Degree in Business or equivalent qualification/training.
- • Certificate from a recognized institution in administrative or secretarial studies.
- • At least five (5) years related work experience.
