Summary

To provide secretarial research services to the Legal Officer of the Bureau of Standards Jamaica so that she plans and directs all general legal activities of the Bureau of Standards Jamaica so that it achieves its mission of promoting the international competitiveness of Jamaican producers, facilitating trade and protecting consumers and advise on Corporate Governance and Ethics Management issues.

Responsibilities

  • • Assist with research for legal matters, gathering necessary documents for review
  • • Assist with the drafting of documents including contracts, other legal documents and office-related reports
  • • Maintain the diary of the Legal Officer and coordinate activities to ensure smooth functioning of the Legal Office
  • • Establish and maintain a filing system for all correspondence that ensures easy storage and retrieval.
  • • Process all incoming and outgoing mail for the Legal Officer
  • • Assemble and disseminate information and transmit instructions to staff as instructed by the Legal Officer
  • • Manage telephone calls and visitors to the Legal Office

Required Skills

  • • Sound knowledge of administrative concepts, principles and practices
  • • Working knowledge of modern office equipment, troubleshooting, practices, and procedures
  • • Comprehensive knowledge of the company’s operations, and services
  • • Good Minutes and Reporting Writing Skills
  • • Good verbal and written communication skills
  • • Good analytical, stress management and decision-making skills
  • • Good planning and organizational skills
  • • Comprehensive Knowledge of Processed Food and Standards Acts and their attendant Regulations Knowledge of other relevant Acts
  • • Work on own initiative and under demanding working conditions
  • • Excellent oral and written communication skills
  • • Excellent customer relations skills
  • • Excellent organizational and prioritizing skills
  • • Intrinsically motivated
  • • Sound character and of good reputation and integrity
  • • Work well under pressure and manage competing priorities to a high level of accuracy
  • • Highly confidential and works on their own initiative

Qualifications

  • • Degree in Management/Administration or Diploma in Administration/Secretarial Studies or equivalent qualifications
  • • Certificate in Professional Secretaries Designate
  • • Certificate in Paralegal
  • • Shorthand/Speedwriting 80 words per minute
  • • Advance Computer literacy in Microsoft Office Suite
  • Experience:

    • • Two (2) years of experience in an administrative or secretarial position preferably
