Summary
Under the supervision of the Fleet Administrator, the Driver/Transportation Officer at the Passport Immigration and Citizenship Agency is a vital role responsible for ensuring the safe and efficient transportation of clients, staff, materials, equipment and records. The Driver/Transportation Officer will also play a critical role in facilitating the safe and secure movement of individuals such as refugees, deportees, and other persons as directed by the Agency. The officer must demonstrate professionalism, compassion, and a high level of integrity in every aspect of their work. đź’°Salary: $1,439,455 JMD per annum
Responsibilities
Driver duties:
- • Safely operate agency vehicles to transport staff, visitors, undocumented/illegal immigrants, and materials to designated locations island-wide.
- • Ensure the secure handling and delivery of sensitive and confidential materials.
- • Maintain vehicle cleanliness and undertake routine inspection of vehicles by checking engine oil, coolant, brake fluid, lights and signals etc.
- • Adhere to all traffic laws and regulations to ensure the safety of passengers, cargo and other road users.
- • Plan the most efficient routes island-wide in collaboration with the Fleet Administrator for daily transportation tasks.
- • Assist with loading and unloading of materials as needed.
- • Monitor vehicle maintenance schedules and report any issues to the Fleet Administrator.
- • Keep accurate records of vehicle maintenance and fuel consumption.
- • Update Daily Assignment Record Book to record stop and start movements during transit.
- • Update movement diaries with relevant details in keeping with agency policy.
- • Maintain comprehensive record of assets transported.
- • Maintain register of passengers utilizing the Agency’s transportation services.
- • Complete vehicle inspection checklist to document the condition of each vehicle before it is used and to account for any relevant damage.
- • Coordinate with the Fleet Administrator to ensure timely vehicle inspections and insurance, registration, fitness renewals.
- • Coordinate with the Fleet Administrator to ensure timely renewal of toll tags, fuel cards
- • Provide excellent customer service (being courteous, discrete, polite, displaying pleasant demeanor, giving general information on places of interests/attractions), to passengers and assist with reasonable needs during transportation.
- • Ensure familiarity with all emergency procedures and protocols pertaining to motor vehicle operations.
- • Ensure the confidentiality of sensitive information while performing transportation duties.
- • Take all reasonable steps to ensure the security of passengers, physical records, packages, assets and other contents while performing transportation duties.
- • Immediately report discovery or suspected loss to the Fleet Administrator
- • Assist in the coordination of transportation logistics for special events or meetings.
- • Maintain a proactive approach to vehicle safety and security.
- • Communicate effectively with the Fleet Administrator regarding any changes in transportation schedules or routes.
- • Keep abreast of road conditions, traffic updates, and weather forecasts that may impact transportation activities.
- • Ensure availability to perform certification test(s) administered by the applicable authority.
- • Utilize available technology tools for efficient performance generally.
Other:
- • Facilitate the timely delivery and collection of documents, parcels, and correspondence between PICA departments and locations island-wide.
- • Maintain accurate records of all deliveries and collections.
- • Assist in the distribution of incoming mail and packages to the appropriate recipients.
- • Coordinate with transport manager (Fleet Administrator) to prioritize urgent deliveries.
- • Assist in the preparation of outgoing mail and packages for delivery.
- • Respond promptly to deployment for delivery/courier services from various departments.
- • Maintain a professional and courteous demeanor when interacting with colleagues.
- • Coordinate with transport manager (Fleet Administrator) to organize the delivery/courier work schedule to optimize efficiency.
- • Assist in the tracking of incoming and outgoing shipments.
- • Provide regular status updates on deliveries in progress.
- • Handle inquiries related to delivery/courier services and provide prompt resolutions.
- • Collaborate with other support staff to ensure seamless communication and coordination.
- • Utilize technology tools for efficient tracking and reporting of delivery/courier activities.

Qualifications
- • Secondary Level Education Certificate/Diploma or 3 CXCs including English Language.  Minimum of three (3) years’ experience in a similar position.  Holder of an Open General Driver’s Licence to include Motor Cars, Trucks (not less than 4000 kgs. laden weight) and PPV Licence, and should be without traffic violations or endorsements.
- • Certification by the Island Traffic Authority to operate a motor vehicle owned by the Government of Jamaica.

Special Conditions Associated with the Job:
- • This position primarily involves driving responsibilities, requiring a significant amount of time on the road and in traffic.
- • The position involves participation as a part of the agency’s first response team in event of natural or manmade hazards and/or disasters
- • May be required to work flexible hours, including early mornings, evenings, weekends or overnight stays, to accommodate special events or operational needs.
- • The role may involve exposure to varying weather conditions, requiring the driver to adapt driving techniques and precautions accordingly.
- • Lifting and carrying of moderately heavy objects, such as boxes or packages, may be necessary during delivery/courier duties.
- • Must possess the ability to lift at least 50 lbs.
